Welcome to SuperPro Software, a total solution software designed for small and medium sized business. SuperPro Software has been designed to enable you to optimize your prospecting efforts through its Contact Management functions. SuperPro provides a complete Correspondence function for all of your company’s written communications. SuperPro also provides an attractively designed personal stationery that features our custom designer envelope for your use and enjoyment. The Order creation process is fully integrated into you QuickBooks accounting program eliminating the need for duplicate entries. SuperPro Software allows you to post and view invoices, synchronize contacts, query current balances, creates custom reports that are not available in QuickBooks, post journal entries and payments with a user friendly interface that is fast and easy. Your inventory System will be automatically updated when your orders are placed. Use SuperPro's Appointment Setter to enter appointments without even leaving your data base. The Appointment Setter can provide a quick reference to your future appointments and can be viewed by the week. You will find the Expense Report to be a valuable tool in organizing and evaluating business trips for everyone in the company. Our Asset Depreciation program can save hundreds of dollars in accounting fees and assure that you are optimizing your depreciation benefits. The Product and Sales Analysis features in SuperPro Software are valuable tools for understanding your business.

HELP

 

SuperPro Software has an extensive Help for all modules. This file is installed with the Typical installation and is omitted in the Compact installation. To select the help file for a particular file go to the Select option on the toolbar. The last entry in Select in each file is the Help file for that particular module. It is identified by the file name and the extension sps. To choose the universal Help for all SuperPro Software file choose the Help option from the toolbar and select SuperPro Software 5.0 Help. Balloon Help screens are also available. Look for the [?] button on layouts that require data entry. These balloon help screens will explain the mechanics of the previewed screen. Return to the data entry screen by clicking anywhere on the help screen. Do not rename any of the files in SuperPro Software this will cause a lose of the relational functions of the software. There is, however, scripting in the software that will allow you to delete the Help.SPS file if you wish to eliminate your on-line help to conserve disk space. You may also print the Help.SPS file before deleting to provide you with a printed set of instructions. To open your online user's manual click on the User Manual control button on the DataBase.SPS screen.

REQUIREMENTS

 The Windows based 32 bit version of SuperPro Software can be utilized in Windows 95/98/ME/2000/XP or Windows NT4.0. For information concerning networking SuperPro Software contact Employer Resources. The software is created in a Windows XP environment and operates best in that operating system. Requires an Intel-compatible 486/233 computer with at least 32 MB of RAM. SuperPro Software has been designed for full screen viewing in 800 x 600 pixels. This option may be chosen by going to Settings then choosing the control panel and then choosing display and settings. Read this document to get an overview of SuperPro Software and the license agreement for use of the program.

SuperPro Software requires a QuickBooks Accounting program to utilize the integrated applications for the program. A 2002 or later version of QuickBooks is required. (Caution: Company files must be created in the version of QuickBooks that you are using in order to properly access the files. If you are using QuickBooks 2002 as the selected company to work with SuperPro Software that QuickBooks company must have been created in your QuickBooks 2002 software. If you are using QuickBooks 2003 or 2004 products then the company that is selected to use with your SuperPro Software must have been created in the version of QuickBooks that you will be using to have your data imported into.)

SETUP

The setup option button is displayed on the Introduction screen and is a control button on the DataBase screen. Selecting this option will take the program to the SetUp screens for SuperPro Software. SuperPro Software gives you two options for customizing your correspondence forms. You may choose to use the field format provided or you can import a stationery format with logo if desired by using the import Letterhead, Fax Form, or Envelope options. If you are using the import option you do not need to enter your information in the fields below. Simply click on the import letterhead option button and select your graphics file. If you are using the field option you can use the toolbar options to design your letterhead. You may use the justification options to change the appearance of your stationery. Each line can be justified differently to create the desired affect. The field's fonts have been preset to produce an attractive design for your stationery, fax forms, and envelopes. You may however want to change the fonts to correspond with your current stationery or to correspond to your personal preference. This can easily be done by placing the cursor in the field and highlighting the text that you want to change. Now select the desired styles or fonts from the toolbar. SuperPro Software has been designed for full screen viewing in 800 x 600 pixels. This option may be chosen by going to Settings then choosing the control panel and then choosing display and settings. Click the Advance button to begin you setup. You can return to the DataBase screen from any setup screen by clicking on the DataBase Return button at the top right of the screen.

Enter the information on each of the SetUp entry screens to complete the setup.

Setting up SuperPro Software to work with your QuickBooks accounting program. Read carefully the instuctions on page eight of your Setup in order to setup the connection between SuperPro Software and QuickBooks accounting program. It is important that the steps for inializing this connection are completed correctly in order for SuperPro Software to function correctly. Before you attempt to use this software open your QuickBooks Accounting package in single user mode and with the Administrator signed in as the user. Go to the company file that you will be using with SuperPro Software 5.0. Then return to your SuperPro Software and click the Set Up button below.. You will then get a message from QuickBooks that says the company has not been selected and QuickBooks will open a browse dialog box to select the company that you will be working with. Select the company in the dialog box. This will bring up a second QuickBooks dialog box that will ask if you want to allow the FileMaker QuickBooks plug-in to access the chosen company file. You will need to check that the plug-in may access the company every time. Once the company has been selected open the QuickBooks interface. On the QuickBooks toolbar in the Company section select Edit and then select the Preferences selection at the bottom of the dropdown. In the Preferences dialog box select the Integrated Applications icon at the bottom left of the dialog box. In the Integrated Applications dialog box select Company Preferences at the top. In the Company Preferences dialog box you will see the the FileMaker-QuickBooks Plugin has been given permission to access the company file. To complete the setup click on the Properties button to the right of the Application Name. In the Properties dialog box place a check in the box that says "Allow this Application to login automatically". You will see that the company's URL chosen has been entered in the field below. To change the assignment to another QuickBooks company remove the information in the field below completely and then repeat the procedure detailed above. All steps in this FileMaker-QuickBooks plugin setup must be completed in order for your SuperPro Software to work correctly.

Now select the Start button to proceed to the DataBase. You can modify the SetUp at any time by choosing the Goto SetUp option.

Contact Management

Clicking on the SuperPro Software 5.0 EXE icon will open the program to you DataBase file and search for your today's call backs. The centered directional buttons will take you from record to record or from the first to last record of the database or a sorted group of records. There are five Option Buttons at the top right hand corner of the DataBase screen.

To create a new record choose the Add option from the option buttons at the top right of the screen. Enter the Client Company’s information directly in the supplied fields. There are two lines provided for a company’s address information. If a company only uses only one line for their address use the first line for the company address. The county field has been formatted as a menu field for ease of entry. Choosing the edit option will allow you to enter the counties that most constitute your database only once. Other additional counties may be entered by choosing the other option. The Delete button will delete the currently displayed company from your database.

The Find icon will place the program in the Find mode and send the cursor to the Company Name field. You may enter a company name for SuperPro to find or you may place the cursor in any other field to search for information. All fields in SuperPro Software are searchable fields. You can use entries in multiple fields to give your searches greater specificity. Use comparison Operators in the search fields to specify information about the desired search.

< Less Than True if the value on the left is less than the value on the right

 >= Greater Than or Equal To True if the value on the left is greater than or equal to the value on the right

After you have entered the parameters for your search click the Find button to complete the search. The Refresh button will return the screen to normal viewing after entering a data entry field. The Quit button will exit SuperPro Software.

Twenty Eight Control Buttons access the major modules of the SuperPro Software.

 Account History gives an account history of the company’s current open order that shows the order information and totals, amount of payment, and payment due from the company. This is integrated with your QuickBooks accounting program.

Agents is a fully functional database for the commissioned agents utilized by the company. File includes a comprehensive correspondence function that creates archived correspondences.

Appointments goes to SuperPro Software’s Appointment Setter that give you a daily and weekly overview of your Appointments. Includes designation of major holidays and can be customized to add additional holidays, anniversaries, birthdays, and special events.

Archive will take the program to the archived correspondences for the currently displayed company.

Assets goes to SuperPro Software’s asset depreciation program. That will allow you to depreciate capital assets of the company.

Banking goes to our user friendly banking program that allows for your checking, journal entries, and post payment entries.

Business Contacts goes to entered business contacts for the current company. Show contact information and can be used with the auto dialer for convenience. SuperPro Software provides full multiple contacts for a company and displays them on one screen.

Calculator opens the MicroSoft calculator for quick use of the general or scientific calculator.

Callbacks will retrieve the records that have been identified in the DataBase to be called back on the current day's date.

Correspondence goes to your pre-merged correspondence file. Features include E-mailing and faxing from with the program, merged forms letter for multi letter mailings, label generator, and proposal and estimate templates.

Contact Notes goes to a chronological history of your contacts with the displayed company with additional space for specific company information. To enter a contact note click on the Contact Notes icon. This will date your contact note and will update the Date of Contact field with the contact date. To add Company information click on the Info icon. To return to the database click on the Database icon and to refresh the screen after data entry click on the Refresh icon.

Envelope will take the program to the merged business envelope for the currently displayed company. For SuperPro designer envelope choose Designer. To return to the DataBase click on the Return button.

Expense Report goes to SuperPro Software relational expense report with multi reporting and year to date features.

Get Estimate will take the program to the estimate template merged with the information from the currently displayed company.

Get Proposal will take the program to the proposal template merged with the information from the currently displayed company.

Help will take the program to the Database content sensitive help file.

Inventory goes to SuperPro Software fully automated inventory system. That will track your company’s inventory needed as you create your orders and deplete your stock.

Labels will take the program to the Label selection screen. Choosing the size of the label desired will take the program to the Select screen. On the Select screen select the sort option that that you wish to create labels for by using your stored sort options or select the current company for the label.

Order Entry goes to SuperPro Software’s order entry system that allow for one step posting of your orders to your QuickBooks accounting program.

Personal Contacts will take the program to the Personal Contacts database. Use this database for records and contact that you do no wish to enter into your company database.

QB Sync will take the program to the QuickBooks Synchronization file. You can synchronize a determined sort by using the Select function or you can Synchronize your entire database by click on the QB Sync control button. In the QB Sync file you will have the choice to synchronize the entire selection or you can synchronize a specific selected record.

Sales Analysis will take the program to a sales analysis report selection menu. You can select sales analysis reports for the day, the month, or for the year. This will give you and overview of your company's sales.

Select will open the Select dropdown menu. There are three pre-selected sort in SuperPro Software. They are identified as X , XX, XXX. These three sorts can be called automatically by selecting the sort in the Find function on the Toolbar. You may also indentify a sort with a new unique indenfication by using the edit or other function. Use the select function to setup specific sorts of records that you wish to work with. The Select function is also used in conjunction with the Merge function in your Correspondence screen. Use this function to identify a group of records that you wish to create a merged correspondence for.

SetUp will take the program to the Set Up layouts for your Correspondence functions. You can alter the correspondence layouts at any time by choosing the SetUp control button.

Ship to Info is a data entry screen for entering Shipping information about the currently displayed company. This information will be transferred to your Invoice documents. Ship to information can be modified in Invoice.SPS on am as need basis.

Using the Contact Fields

Next we have the two contacts listed as CEO and Contacts. Enter the CEO name and title directly on the DataBase Screen. The gender fields are drop down menus listing the most common titles. The edit and other option will accommodate any entry up to six characters. First and last names have separate fields in order to correctly setup correspondence entries. Tiles are a drop down menu. The titles that you will choose will depend on the nature of your particular business. The edit and other option can add and delete title entries at any time. If you anticipate written communication with the CEO of the client company you will need to make an entry for the CEO in the Contacts.SPS file using the Add Contact option button. Clicking on the Business Contacts control button will take you to the Contacts.SPS file that will provide a list view of all the contacts that you have entered in the Enter Contacts screen for the displayed company.

Using the Telephone icons

The telephone icon is set to the auto dialer. Clicking the icon will dial the number entered in the telephone field. The dialing properties for the auto dialer must be setup in Microsoft Windows 95/98/ME/2000/XP to determine which numbers should be dialed without the prefix and which numbers will require the prefix for long distance dialing. You may need to look at the documentation that came with your operating system. The telephone and fax telephone fields have been masked for consistency and ease of entry. Simply enter the ten digits of the telephone number in the fields and SuperPro Software will format the number for you. Clicking on the fax machine icon will take the program to the fax form in the correspondence section of the program.

Using Database screen options

The consultant field is a drop down menu accessed by clicking on the word Consultant or into the field. You can enter all users of the software here. The date of contact field is automatically entered when a contact note is entered in the Contact Notes field. Date of last order is an automatically filled field when a customer's order is placed. The call back date field is for entering a callback date. SuperPro Software will store the information and sort for it in the startup program. The records that are marked for the current date as a call back date will be the sort that will appear in your data base when you start SuperPro Software. This will insure that you do not miss an important opportunity. The current day's call backs can be retrieved throughout the day by executing Callbacks control. If there are no scheduled callbacks for the current day SuperPro will show the message "No Callbacks Scheduled for This Date." To proceed with the program select Ok. The Current Status field will automatically update from prospect to customer when an entry is made in Order Entry for that particular company.

Using the Select function

Choose the Select control button to identify a company as part of a specific sort. There are three predetermined sorts provided in the SELECT option. Use this option to identify specific companies that you are working with. Identify companies that you might want to do a mailing or fax to or companies that you want to be sure to call about a special offer. The SELECT option is used in conjunction with the Merge selection for multi-mailing and with the label generator for multi label selection. You may add your own sort selections by using the edit or other option. Choose the edit or other option and then enter the abbreviation for the sort that you would like.

You can remove a sort option by click on the “empty space” below the XXX sort option.

 The X Select, XX Select, and XXX selection option can be executed from the Select option on the toolbar. Click on the Select option and then click on the desired sort option. SuperPro will create a sort for the records that have been designated. If there are no records that have been designated with the selected sort a message will display indicating there are no records so designated. Click OK to continue.

You can utilize the SELECT function with the Find function. You can use your SELECT criteria and couple that with additional limiting information such as demographic information, your date of last order, callback date, contact date, SIC Code, Industry, tier, or size information to give your search more specificity. All fields in SuperPro Software are searchable fields. You can use entries in multiple fields to give your searches greater specificity. Use comparison Operators in the search fields to specify information about the desired search

 Depress the Find option button key to complete your search or click the Refresh button to abort a search.

 Choose the Create SELECT identification for current sort in Select on the toolbar to create SELECT identifications for sorts that you create with the Find option. The Create SELECT identification for current sort will open the Index Viewer with the selections available in the SELECT option. To identify the records in a current sort as belonging to an identified sort choose the desired identification in the Index Viewer and click on the Paste button. This will place the selected identification in the SELECT field for all records that are in the current sort.

Using the Data Fields

There are seven customizable data fields at the bottom of the Database screen for general information about the company. These fields are pre-set with information provided by numerous companies that supply data information on prospective customers. This information can all be easily imported into your database without requiring any data entry by using the Import/Export function found in the File section on the toolbar. (See Using Import / Export Options in DataBase.SPS Help in the Select section on the toolbar for instructions on importing or exporting records.) To customize the data fields for your company's needs click on the data field label to display a drop down selection for the field. Use the edit function to enter the desired data label.

Business Contacts

 

The Contacts.SPS File is used to store information on Contacts for the current displayed company. The Contacts File can be accessed by clicking on the Business Contacts control button. There are five Option icons at the top right of the Contacts screen. The [?] icon will goto the balloon help screen for the Contact.SPS file. The Add icon will take the program to the Add Contact Entry screen. New Contacts for a company must be entered in the “Contact Entry Screen.” The Delete icon will delete the contact that the cursor is currently displaying as the selected record. The Refresh icon will restore the screen to normal viewing after a data entry and the Quit icon will exit SuperPro Sofware.

If correspondence with the company's CEO is anticipated make an entry for the CEO. All telephone numbers on the Contact Entry Screen have masks for ease of data entry. Simply enter the ten digits of the phone number and SuperPro will supply the masking. You can use the Contact.SPS File for communicating with your Contacts. All telephone number are set to the auto dialer. You may dial a number through the dialer by clicking on the name of the telephone that you are reaching (e.g., clicking on the words Business Telephone will dial the business telephone number). To send E-Mail or access a website click on the words E-Mail or Web URL. SuperPro will access the Internet Address entered in the E-Mail and Web URL fields. To correspond with a particular contact by written or faxed correspondence click on the Chek button to the right of the contact. This will place that particular contact in the main contact field on the DataBase Screen in SuperPro Software.SPS and will update the Correspondence section with that individual's name and title. You may replace this contact with another contact in the same manner by clicking on the Chek box for the contact desired. To utilize SuperPro’s Correspondence section the desired addressee must be selected as the Contact on the DataBase Screen. The down arrow at the top of the screen will toggle the screen down and the up arrow will return the view to the top of the screen. The control buttons at the top of the screen will go to the identified modules of SuperPro Software.

Correspondence

SuperPro Software can assure attractively designed and correct documents for all of your correspondences. Each document will be exact and consistent. You will never need to setup a merge document or worry about margins. SuperPro Software gives you two options for customizing your correspondence documents. You can use the field format that is provided in the software or you can import your own Letterhead, Fax Form, and Envelope graphics documents easily and quickly using SuperPro Import function. All correspondence document are designed in the SetUp screen. You may choose this screen from the start up Introduction screen or at any time by choosing the Goto SetUp control button. In order to utilize the import function for your letterhead or fax form you will need to create an importable graphics document in a picture format such as bitimap, gif, or jpeg. Refer to the Setup information for necessary dimensions for these files. SuperPro Software gives you all the editing options of a high quality Word Processing program. Choosing Format from the Toolbar will provide all the options you will need to produce your professional correspondences. You can review all past correspondence with your contacts quickly and easily. (Warning DO NOT Preview the help screens in the toolbar's Record Preview. This will result in halting the script that returns the viewing to the menu screens. All other printable screens provide an interface button to preview the document. These buttons should be used to preview printable documents as the preview option in Records will reflect the currently viewed entry screen and not the print screen that will actually produce your document) Now let's look at some of the documents that you can produce.

Correspondence Screen

Choosing the Correspondence control button anywhere in the program will take you to the Correspondence entry screen. The layout has been customized for your business in the Set Up process. You may change your Set Up information at any time by choosing the Goto Setup option in the Find drop down menu. The addressee in the Correspondence document corresponds to the contact designated on the DataBase screen. You may choose from any of your contacts listed in your Contacts.SPS File for utilizing the correspondence documents by selecting the contact and clicking on the Chek mark to send the contact to the DataBase Screen. The document is setup with one inch margins and is set in Times New Roman twelve point type. Choosing the text ruler from the Format option on the toolbar will allow you to customize your document in any manner desired. To prepare a correspondence you will need to give each correspondence a file name. Click on the words Enter File Name at the top of the screen and enter a file name to identify your correspondence. Now tab to the letter body section and complete your correspondence. SuperPro will set all your margins and date your correspondence with the current date. The Print option will print your correspondence. The Fax option will setup a fax document utilizing the Correspondence Fax Form cover sheet. The recipient will correspond to the selected addressee. If you need to enter comments in the comment section of the fax form do so before you request the fax option. The document may be then be printed for use with a standard fax machine by choosing your printer in the print dialog box or it can be faxed from the program by choosing your communication package in the print dialog selection box. The E-mail option will open your default e-mail program and send the text that has been entered into the Letter Body section of the Correspondence screen to the e-mail address of the contact listed in the main data base as the Contact. An email address must be entered for the contact in the Contacts file. When using the Personal Stationery enter the recipient's e-mail address in the space indicated on the right hand side of the Correspondence screen. This requires a MAPI compliant e-mail program such as Outlook Express and an internet access that provides a P3 access. If your service provider utilizes dynamic link access ( such as AOL) you will need to open your internet access before utilizing this function. The Preview button will preview your document before printing. Don't forget to use the Spell Checker for your work. The document can be checked for spelling errors by clicking on the words Spell Check at the top right of the document. The Reset button will clear the letter body for a new correspondence. The Undo typing is also an option in the Edit function on the toolbar. To save your correspondence you must either print or fax the correspondence or hit the Reset Button. There are balloon help screen available for all correspondence screens as well as formatting and text editing instructions. Clicking on the [?] option button will take the program to the Correspondence Help Menu screen. Select the topic that you wish to review by clicking the name of the topic. To return to the Menu screen click anywhere on the Help screens. To return to the Correspondence screen click on the circular button at the bottom of the menu screen. The Refresh button will return the screen to normal viewing after you have entered a data field and will maximize the screen if necessary. The Quit icon will exit SuperPro Software.

Merging Documents

The Merge function in Correspondence is utilized for when sending multi merged form letters of the same correspondence. This function can be utilized for creating a hard copy mailing or for creating a multi merged e-mailing. The Merge function is used in conjunction with the SELECT function on the DataBase screen. Use the SELECT function to identify companies that you wish to include in a specific Merge. You can change the assignments in the SELECT option field at any time for a company.

 

When you have selected the companies for your Merge click on the Correspondence Control button to go to the Correspondence screen. To select your merge companies click on the Merge icon at the top right of the screen. This will take the screen to the Sort Selection screen. Select the sort from the sort options or enter the sort that you have identified the companies with in the SELECT option field. Click on the Perform button to create your merged record set. Click on cancel to cancel the request.

 

After you have selected your merged record sort selection, enter the file name of the mailing in the File Name field at the top of the Correspondence screen in the first record only of your newly create merged record sort. This file name will be applied to all records in the sort and an entry in your Archived Correspondence will be made under this file name for each company included in the sort. You can view your merged correspondence by clicking on the Preview icon at the top right of the screen. (Caution: Use the Preview icon on the Correspondence screen. Do not attempted to preview the sort from the ToolBar preview option. This option will only preview the current screen and not the Print screen for your mailing.)

 

You can now choose to print your merged mailing by choosing the Print Icon. (No not attempt to print you mailing from the Toolbar File print option. This will print the current screen and not the print screen for your mailing.)

 

If your mailing is going to be an e-mailing, click on the e-mail icon. This will take the screen to the E-mail Selection screen. In the E-Mail Selection screen choose the Send and Include All Companies for one click e-mailing of your selection. This method will include the names of all mailed companies in the Sent to field in the recipient’s e-mail. If you do not want to show all companies in this field choose the Send and Select All Companies in the E-Mail Selection screen. This will require that you click the Send button in your e-mail client for each company in the selection.

Archive

The Archive option will take you to the File Selection screen of the Correspondence.SPS File that holds past Correspondences. Click on the File Name of the document in the center column that you wish to review. All features of SuperPro Software's correspondence are available in the archived correspondence file. You may edit a document or use any of the correspondence's functions. Altering an archived correspondence will however eliminate the archived record of the original correspondence. The option buttons in the Correspondence.SPS file will perform their designated functions for the document type that you are reviewing. Choosing an option button that is not related to the document that you are reviewing will return the program to an original creation screen in the DataBase.SPS file. The Correspondence control button on the File Selection screen will take the program to an original correspondence creation screen in DataBase.SPS. The Delete option button at the top right of the screen will delete the correspondence that is currently selected. To select a correspondence on the File Selection screen click into the Company Name field to the left of the file name. You will note that the selection bar on the far left of the screen now shows that file as the currently selected file. The control buttons will take SuperPro Software to the designated modules of the program.

Fax Form

The Correspondence Fax Form is designed to be used with the Correspondence screen in SuperPro Software. The recipient will correspond to the addresses of the correspondence document. Choosing the Print option to the right of the document will print the fax form for use on a standard fax machine. Choosing the Fax option and then choosing your communication package in the print dialog box will send the document to your communication package. You may then attach additional documents for faxing in the usual manner. The Spell Check option button will spell check the contents of the Comments section of the Fax Form. The Reset option will reset the comments section of the fax form. Clicking on the [?] option button will take the program to the Correspondence Help Menu screen. Select the topic that you wish to review by clicking the name of the topic. To return to the Menu screen click anywhere on the Help screens. To return to the Correspondence screen click on the circular button at the bottom of the menu screen. The Refresh button will return the screen to normal viewing after you have entered a data field and will maximize the screen if necessary. The Quit icon will exit SuperPro Software.

Stationery

The stationery layout is to give you the option of writing correspondences to recipients whom you may not wish to enter into the company contact section for a particular company. Click on the words Enter File Name at the top of the document and give the document an identifying file name. There are two fields to use to enter a contact and contact title for your correspondence. Now tab to the letter body section of the screen and complete your correspondence. The Print option will print your stationery correspondence. The Fax option will setup a fax document utilizing the Stationery Fax Form cover sheet with the addressee and title corresponding to the contact information that you entered on the Stationery screen. The document may be then be printed for use with a standard fax machine by choosing your printer in the print dialog box or it can be faxed from the program by choosing your communication package in the print dialog selection box. The Preview button will preview your document before printing. Undo typing is also an option in the Edit function on the toolbar. Printing or faxing the stationery or clicking on the Reset Button will record your stationery correspondence in the Correspondence.SPS archived correspondences. The document can be checked for spelling errors by clicking on the words Spell Check at the top right of the document. The Reset button will clear the letter body for a new correspondence. Clicking on the [?] option button will take the program to the Stationery Help Menu screen. Select the topic that you wish to review by clicking the name of the topic. Proposal

The Proposal control button will take the screen to your proposal template. Click on the words Enter File Name at the top of the document and give the document an identifying file name. Enter the Proposal Number and tab to the Work to be performed at field to enter an address for your proposal site. Tab to the Date of Proposal Plans and give enter a date for your proposal to begin. ( enter date in xx/xx/xx format and SuperPro will format for you. Tab into the drop down field for the type of contractor. Use the edit or other option to customize this field for your own business. Tab into the contractor field and enter your name. Tab into the details field of the proposal and enter the details of your proposal. To assure a properly printed proposal do not exceed the space provided. Tab into the sum field and enter the written sum of the proposal then tab into the numeric sum field and enter the numeric amount. Tab to the term field and enter your payment terms. Tab to the final field and enter the number of days the proposal will be honored for. The document can be checked for spelling errors by clicking on the words Spell Check at the top right of the document. The Reset button will clear and archive the proposal. Clicking on the [?] option button will take the program to the Proposal balloon help screen. The Refresh button will return the screen to normal viewing after you have entered a data field and will maximize the screen if necessary. The Quit icon will exit SuperPro Software.

Estimate

The Get Estimate control button on the DataBase screen or the Estimate button on the Correspondence screen will take you to the Estimate template. Click on the words Enter File Name at the top of the document and give the document an identifying file name. Enter the Estimate Number and tab into the Vendor field in your Estimate Portal. Select the Vendor of the item it the drop down menu and click on the small selection button to the right of the Vendor field to select that Vendor as the Vendor for the item to be displayed. Now click into the products field and select the product from that Vendor's list that you wish to place in the Estimate. You will see that the retail price that you have entered in your Inventory field will be shown with the Product's Item ID number as a reminder of the list price of the item. Now tab to the Quantity field and enter the quantity of the item that you wish to appear on the Estimate. Next you will tab to the Unit Price field and enter the Unit Price that you are extending in this Estimate for the listed item. The description field and amount field are auto filled by SuperPro Software. You can now enter Shipping and Tax information if needed. You will see that the estimate totals have been entered into the estimate at this time. You may modify the introduction line of the estimate to suit your company's term by simply clicking on the text of the first line of the written estimate. You will see that this is a dropdown menu. Use the Other and Edit functions to enter the appropriate personalized introduction for your company. The Respectifully submitted by and Per field are also dropdown menu. You can customize these fields with your company information or you can chose to leave these field blank for written singature for these fields. Your last field on the Estimate is the Days Within field. Use this field to indicate the number of days that the estimate will be honored for.

The document can be checked for spelling errors by clicking on the words Spell Check at the top right of the document. The Reset button will clear and archive the estimate. Clicking on the [?] option button will take the program to the Estimate balloon help screen. The Refresh button will return the screen to normal viewing after you have entered a data field and will maximize the screen if necessary. The Quit icon will exit SuperPro Software.

Your Estimate is an archived document. Printing, faxing, or e-mailing the Estimate will save an archived company of the Estimate in you Correspondence archive file. You may also say a copy of the your Estimate by clicking on the Reset button to save you Estimate to the archive file.

Your estimate can be used to create an order from in your Invoices.SPS file. In Invoices.SPS file click on the Get Estimate control button to go to the Estimate retrival screen. Enter the number of the estimate in the Estimate number field and click the Find icon to import your estimate into your Order Entry screen. Complete the appropriate information for your order and then click the Done button at the bottom right of the screen to return to the Order Entry screen filled with the estimate order information.

Your estimate can be used to create an order from in your Network.SPS file. If you wish to use an existing Estimate for a transfer record to create a new order to be sent, in the Network.SPS file select Yes in the do you want to send a New Order drop down and now enter the Estimate number in the Estimate number field.

Envelope

The Correspondence Envelope is designed to be used with the Correspondence, Proposal, and Estimate screens of SuperPro Software. Choosing the Correspondence Envelope will take you to your ready to print envelope. The addressee will correspond to the addressee on your correspondence document. Choosing the Print Icon will print your envelope. The Fax Form option will go to the Correspondence Fax Form with the selected contact as the addressee. The Return option will go to either the Correspondence, Proposal, or Estimate depending on which screen you accessed the correspondence envelope from. DataBase option will return the program to the DataBase Screen. The Stationery option will go to the Stationery. The Designer Envelope button will go to SuperPro's Designer Envelope. All control options on the designer envelope screen are the same as the envelope screen.

SuperPro Software Label Generator

SuperPro Software will produce three inch and four inch labels.

Label Sort Option Screen

Choosing the desired label button in any of the correspondence screens will take the program to the sort option screen for the label maker. Choosing the label generator in the Correspondence screen will create a label with the currently selected Contact chosen in the main database screen as the addressee. Choosing the label generator in the Stationery screen will create a label with the information that your have input as the addressee in your stationery document. There are five sort options to produce labels. Choosing the Print label for current company by placing the cursor in the circled radio button will print a label for the currently selected company. You can also choose a defied sort from the SELECT menu option to create labels. Choosing the X, XX, XXX option will produce labels for all of the company that you have designated by a particular sort. Choosing the Print Labels for all records will print labels for all records in your database. Choosing the custom sort option will open the Sort dialog box. You can choose any of the sort options available to create a customized sort for your labels. Once you have selected the desired sort for your labels click on the perform button to take the program to your label template or click on the cancel button to cancel the operation completely.

Label Template

The label template will show the records in the selected sort that will be printed. The numbers at the top of the label template will move the records the corresponding number of spaces. This is used when you have already used part of the labels on a page of labels. If you have already printed the first three labels on your label's page click on the button designated [3] to move the labels to the fourth position on your label sheet. Choose the print option to print your labels or the cancel button to cancel the operation.

Personal Stationery

SuperPro Software provides a stationery layout not associated with any company in your database. Choosing the Personal Contacts control button will take the program to use Personal Stationery. Enter your name and address and perhaps telephone or e-mail in the Setup section of DataBase.SPS. You can also enter new personal contact information by clicking directly into the fields. SuperPro Software stores archived personal correspondences in the Correspondence.SPS file and identifies them as Personal Correspondence. To review personal correspondences click on the Archive button. In the document selection screen choose the file name that you have entered to create your personal stationery document. The Print button will print your correspondence and Fax will setup fax document with the personal fax form. The E-mail option will open your default e-mail program and send the text that has been entered into the Letter Body section of the Personal Stationery screen to the e-mail address entered in the E-mail Recipient Address field. The Preview button will preview the document before printing. The document can be checked for spelling errors by clicking on the words Spell Check at the top right of the document. The Reset button will clear the letter body for a new correspondence. Clicking on the [?] option button will take the program to the Personal Stationery Help Menu screen. Select the topic that you wish to review by clicking the name of the topic. To return to the Menu screen click anywhere on the Help screens. To return to the Personal Stationery screen click on the Circular button at the bottom of the menu screen. The Refresh button will return the screen to normal viewing after you have entered a data field and will maximize the screen if necessary. The Quit icon will exit SuperPro Software.

Merged Personal Contacts

You can also utilize your personal stationery with you Personal Contacts database. Select the Personal Contacts Control button anywhere in the program to go to your database. Choose the formal option to merge your selected contact with your personal stationery.

Envelope

SuperPro Software provides a blank envelope for business or personal use. The return address will correspond with the information that you enter in the personal stationery or have entered in Setup for your personal stationery. The envelope may be selected in the Personal Stationery . Choosing the Print option will print the envelope. The DataBase option will return the program to the DataBase screen. The Fax Form option will take you to the Personal stationery Fax Form. The Personal Stationery option will return the program to the Personal Stationery. Choosing the Design Envelope option will take you to the Personal Designer envelope. The Reset button will reset the currently displayed addressee information.

DataBase

The Database control button will return the program to the main DataBase screen.

Personal Contacts DataBase

SuperPro Software has a personal contacts' database for your use and enjoyment. Click on the Personal Contacts control button in your Personal Stationery or in the Contact.SPS file to access the Personal Contacts database.

There are seven option buttons at the bottom of the personal contacts screen. The Goto Find button will place the program in the Find mode and place the cursor in the last name field for you contact. Enter the last name of the person you are searching for and depress the Enter key to complete your find. The Add Record button will add a new record to the database. Enter the appropriate information in the specified fields for a new entry. The Delete button will delete the currently displayed contact from the database. The personal stationery is associated with the personal contacts database and will produce merged documents from that database.

You may choose a Formal or Casual format for personal stationery documents. The Formal option will take you to the personal stationery with the contact's name, title if entered, and address information merged for you. The Casual option will take you to the personal stationery with no merged addressee. When a correspondence is sent to a contact in your personal contacts database the Date of Last Contact field will be updated with the correspondence date. This date can be overridden in the Personal Contacts screen to reflect other types of contact if desired. The personal database may be accessed by choosing the Personal Stationery in any of the Correspondence screens and then clicking on the Personal Database button.

The DataBase button will take the program back to the main business DataBase of SuperPro Software. The Refresh button will return the screen to normal viewing after you have entered data into a data field. A balloon Help screen is available by clicking on the [?] button in the top left hand corner of the Personal Contacts screen. Click anywhere on the screen to return to the Personal Contacts screen.

 The Personal database can be sorted by clicking on the Letters at the top of the database. Choosing the [A] button will sort the database for all entries that begin with the letter A. Use the Advance Records buttons to advance to the desired contact.

The telephone icons in the Personal Contacts DataBase are buttons and can be used with the auto dialer. Click on the Business Telephone icon to dial the business telephone number or the Home Telephone icon to dial the home telephone number or the Pager Telephone Icon to dial the pager number. Clicking on the Fax Machine icon will take the program to the Formal Merged Fax Form in your personal stationery with the currently displayed contact as the addressee. Clicking on the Email icon will open your default e-mail program with the contact's e-mail address entered as the addressee. The Contact Notes field is provided for personal notes about your contact.

SuperPro Appointment Setter

 Daily Entry Screen

Choosing the Control Button designated Appointments anywhere in SuperPro Software will open the Appointment Setter. Choose the desired date in the Appointment Setter by clicking into the date on the Calendar in the upper right corner of the screen. The arrow buttons below the date will advance the Calendar to the next month or return it to the previous month. You can choose a specific month by clicking on the Month options at the bottom of the Appointment Setter. You can advance the Appointment Setter by one day increments by clicking on the arrow buttons below the Calendar. You can advance the Appointment Setter to the next year by clicking the arrow buttons above the Month options. Choosing the Today button will take the Appointment Setter to the current day. Choosing the Close option will close the Appointment Setter and return the program to the file which you chose the Appointment Setter from. Choosing the Week option button will take the Appointment Setter to a Weekly view of your appointments.

Weekly View Screen

In the Weekly view screen you can advance the view by increments of one week by clicking on the arrow buttons at the top left of the screen. Clicking on the This Week button will show the current week's appointments. You can advance the view by increments of one month by clicking on the arrow buttons at the top right of the screen. Click on the This Month button will show the current month's appointments. To return to the Daily Entry Screen click on the [Day] button at the left of the screen for the specific day that you wish to display in the daily screen.

Entering Appointments in the Appointment Setter

To enter an appointment in the Appointment Setter click into the schedule field at the left of the Appointment Setter. This is a drop down menu showing half hour intervals for Appointments. Select the appropriate time and place the cursor in the appointment field to the right of the corresponding time. Enter the appointment in the field. The field is an expanding field and will accommodate as much information as you wish to enter for the appointment. The full text can be view by clicking into the field. When entering an appointment use the last unused field for a new appointment entry. Now click on the Refresh icon at the bottom of the Appointment Setter and SuperPro will place the appointments in the proper chronological order. To delete an appointment place the cursor in the field of the appointment that you wish to delete. Click the Delete button at the top right of the screen. SuperPro will prompt as to whether you wish to remove this appointment. Click yes to remove the appointment. To print your appointments for the day choose the Print schedule button. The Today's Task section of the Appointment Setter is for recording important task that you wish to accomplish for the selected day. To enter a task click into the field and enter the task information. To print your list of tasks choose the Print button. If you desire to remove pass appointment information from your Appointment Setter enter the date that you wish to remove all appointments from in the Date section at the bottom of the Appointment Setter. Now click on the Trash Can icon to the right. SuperPro will prompt you to as to whether you wish to remove the selected records. Click yes to remove the records.

Entering Holidays, Anniversaries, Birthdays, and Special Events

SuperPro's Appointment Setter comes preloaded with all major holidays. You can customize the Appointment Setter to add your own special days of interest. To add an event to the Appointment Setter's displayed days click on the Add Holiday icon at the bottom of the Appointment Setter. Use the other option to add your special event day.

Agents

Entering Agent Information

The Agents File can be accessed by clicking on the Agent Control button.

Adding Agents

New Agents for the company must be entered in the Agents Entry Screen. This screen is accessed by choosing the Agent control button. All telephone numbers on the Agent Entry Screen have masks for ease of data entry. Simply enter the ten digits of the phone number and SuperPro will supply the masking. Enter the agent's information directly into the agent entry screen. If you are entering information for a second agent click the Add Agent button at the top right of the screen. The control buttons will take the program to the designated modules of the program.

Using the Agents File

You can use the Agents File for communicating with your agents. All telephone number are set to the auto dialer. You may dial a number through the dialer by clicking on the name of the telephone that you are reaching (e.g. clicking on the words Business Telephone will dial the business telephone number). To send E-Mail or access a website click on the words E-Mail or Web URL. SuperPro will access the Internet Address entered in the E-Mail and Web URL fields. To correspond with a particular Agent by written or faxed correspondence click on the Chek button to the right of the contact. This will select a particular Agent. Now click on the Correspondence Control button to go to your merged correspondence. The arrow at the top of the screen will toggle the screen to the bottom of the screen. The control buttons at the top of the screen will go to the identified sections of SuperPro Software.

Order Entry

To create a new order choose the Orders Entry control button anywhere in the program.

 Creating a New Order

 

On the Order entry screen you must first select the Vendor that supplies the product or item that will be entered into the order. This is done by clicking into the Vendor field at the far left of the order line and selecting the vendor from the drop down list of Vendors that you have created in the Inventory.SPS file. After you have selected the Vendor click the small black select button to the right of the Vendor field. You do not need to re-select the Vendor for each line entry unless the vendor changes from the previously selected vendor. If you need to change Vendor's click back into the Vendor field and select the desired vendor and then click the black selection button to the right of the Vendor field to select you new vendor. Now click into the Product ID field and you will find all of the products listed for that particular vendor is now available to select as your line item entry. Select the line item entry for that line's order from the drop down menu. The description field is an auto entered field from the description that you have entered in your Inventory.SPS file. Enter the quantity of the item ordered then entered the retail price that will charged to that customer for the selected item. The product ID shows in the drop down menu a reminder of the normal retail price but will not be entered as the unit price. The unit price can be altered from the normal retail if needed. Enter each item on your order in the order entry screen. SuperPro Software will total your order.

Entering Tax to the Order

  

Choose the appropriate tax catagory from the Tax Option field at the bottom of the Order Entry screen. You may choose to make the order non taxable or you may enter the applicable tax that will apply to your order. Use the Edit option to enter different necessary taxes. You must also select the appropriate tax category in your QuickBooks accounting program. Now select the tax rate from the drop down menu in the Tax Rate field.

Entering Shipping Charges

Click on the Shipping Charges control button to go to the Shipping Infomation entry screen to enter shipping information for your order. Enter the appropriate information in the fields on the shipping charge entry screen. The cost amount will be added to your new order and will be displayed on your QuickBooks invoice. Click the Done button to return to the order entry screen. Click on Goto Shipping Charges in the options at the top left corner of the screen or the Truck icon in the Shipping Charges entry screen for a spreadsheet view of your shipping charges.

Entering Pre-Payment for the Order

To enter a payment with you order click into the Payment Method field and select the type of payment that the customer has made and enter the amount of payment that has been made in the Payment Amount field. If the payment has been made by a credit card click into the Credit Card Number field and enter the credit card number. You will only need to enter the sixteen digits of the credit card number in the field and SuperPro Software will format the number for you. The number will not format properly if there are spaces entered into the field. Now click into the Credit Card type field and choose the appropriate type of credit card that was used for the purchase.

Entering Agents Commissions

SuperPro Software will calculate Agents commission's based on the information entered in the Order Entry screen. At the bottom center of the Order Entry screen click into the Agent field and select from the drop down the appropriate agent for the current order. The drop is a list of Agents that you have entered into the Agents.SPS file. Now click into the Commission Rate field and select the appropriate commission rate for the current order. Enter a commission rate as a decimal percentage of 1. (e.g., enter a twenty per cent commission rate as .20 SuperPro will convert this to 20% but it must be entered as .20) SuperPro Software will calculate the commission for the order and display the commission amount in the Commission field.

Finding Agents' Summary Reports

For summary commission reports click on the Commissions control button. This will take the program to a selection wizard screen. Click into the Agent's field and choose the agent that you wish to create the commission report for. Now click into the search period field below the agent's field and select the period of time that you would like to produce the commission report for. SuperPro Software will produce commission reports by the week, month, or year. When you have chosen the Agent and the search period click on the Get Commissions button in the box above. This will take the program to a spreadsheet view of the selected agent's commissions for the selected period. To print the commission statement click the Print button at the top right of the screen. To return to the selection wizard screen click on the Commissions button or to return to the Order Entry screen click on the Order Entry button. To return to the Order Entry screen from the selection wizard click on the circular arrowed button marked return to Order Entry. The Control Buttons will take the program to the designated modules of SuperPro Software.

Using the Order Entry Control Buttons

Account History

Click on Account History control button to go to a history of current open orders for the selected company. If a payment amount was entered into the Payment Amount field on the order entry screen this will be reflected in the Account History. The Account history is updated from your QuickBooks accounting program. The Account History will give you information on the current status of an order and a review of the total current activity of the selected company. Clicking on the record icon to the left of an order entry in the Account History screen will take you to a review of that particular order. Selecting the Order Entry control button will return the program to the Order Entry screen to the current open order. The Goto Spreadsheet option button will take the program to a spreadsheet analysis of the account history.

Agents

Selecting the Agent Control button will take the program to the Agents.SPS file. You can correspond with a selected Agent or create a new agent for your company.

Banking

Selecting the Banking control button will take the program to the Account selection screen of the account.SPS file. Enter payments past invoices in your Account Receivable account in the register.SPS file.

Calculator

Selecting the Calculator control button will open the MicroSoft calculator.

Commissions

Selecting the Commissions control button will take the program to the Commissions Wizard. Click into the Agent's field and choose the agent that you wish to create the commission report for. Now click into the search period field below the agent's field and select the period of time that you would like to produce the commission report for. SuperPro Software will produce commission reports by the week, month, or year. When you have chosen the Agent and the search period click on the Get Commissions button in the box above. This will take the program to a spreadsheet view of the selected agent's commissions for the selected period. To print the commission statement click the Print button at the top right of the screen. To return to the selection wizard screen click on the Commissions button or to return to the Order Entry screen click on the Order Entry button. To return to the Order Entry screen from the selection wizard click on the circular arrowed button marked return to Order Entry.

Customer Updates

Click on the Customer Updates control button to update to synchronize your customer information with your QuickBooks accounting program. The customer information section of the Customer Update screen will be filled with the current company's information. To select another company to update click into the Select Customer field and choose from the drop down the customer that you wish to update. Then click the Query button at the right of the Select Customer field to get the data for your selection. Now click the Update Record in QuickBooks button at the bottom right of the screen. To clear the screen for a second update selection click on the Clear Local Customer Data button at the bottom left of the screen.

DataBase

Click the DataBase Control button to return to the main database. If you have not posted the invoice SuperPro Software will prompt you to either save the new order or to post it to your QuickBooks accounting program. You may also save you new order as a Shipped but Not Billed order.

Inventory

Selecting the Inventory control button will take the program to the Inventory.SPS file. Enter the information about the products and the product description to be displayed on the Order Entry screen.

Post Invoice

Click on the Post Invoice control button to post the current order to your QuickBooks accounting program. SuperPro Software will assign the next invoice number in your QuickBooks accounting program to the order screen in SuperPro Software.

Query

Select the Query control button to go to the Query Item Descriptions screen. To find the companies that have purchase a particular item select the vendor of the product by clicking into the Vendor field and choosing from the drop down list the appropriate vendor for the product that you want the query for. Now select from the Invoice item field the invoice item that you want the query for. Now click the Query button to the right of the field to complete your query. To clear the screen for a second query click the Clear Results button at the bottom right of the screen.

Sales Analysis

Choosing the Sale Analysis control button will take the program to the Reports Menu screen in the Sales.SPS file. Here you may select your report summaries for total sales as well as reports for individual product analysis. ( See Analysis for a comprehensive overview of this function.

Shipping

Select the Shipping control button with the truck icon to go to the shipping information entry screen. (See Entering Shipping Charges for a comprehensive overview.

Shipped But Not Billed

Selecting the Shipped But Not Billed control button will take the program to the Shipped But Not Billed layout screen. Use this form when you are sending a product on an approval basis and are not issuing an invoice at the present time. (WARNING: You must choose the Shipped But Not Billed option in the Terms drop down selection when using the Shipped But Not Billed Form. This will tell SuperPro Software not to add the order to the Account History of the company yet.)

View Invoice

Choose the View Invoice control button to go to the View Invoice Information screen .from the Order Entry screen. This will take you to a prepared Invoice for the current order. If payment information or credit card information has been entered in the order entry screen this will be reflected on the invoice. You can preview how the invoice will look when printed by choosing the preview button at the top right of the screen. You can print the Invoice by choosing the Print button to the right of Preview. The arrow down button will take you to the bottom of the Invoice and the arrow up button will return you to the top of the Invoice. The circular return button will return you to the Order Entry screen. The Control Buttons will take the program to the designated modules of SuperPro Software.

Banking

SuperPro Software provides a user friendly interface to handle your data entry needs for your QuickBooks accounting program. Make general register entries for checking, savings, credit cards, expense, other current liability, and cash accounts. Enter post payments for orders into your accounts receivable account.

Using the accounts.SPS file.

Selecting the Banking control button will take the program to the accounts.SPS file and to the accounts selection screen. To select an account click on the desired account with the mouse pointer.

There are four selection icons in the upper right corner of the screen. Select an account by using the Advance Buttons at the top of the screen to place the cursor at the far left of the screen in the record for the desired account. The Add icon will take the program to the Add New Account screen in your input.SPS file. To create a new account click into the radio button field of the type of account that you would like to create to identify the account type. Now give the account a name and beginning balance. If starting balance is zero enter 0 in the beginning balance. The Edit icon will allow you to edit informaion about a selected account. The Delete icon will delete a selected account from your account list. You can edit an account’s information by clicking on the Edit icon. The Quit icon will exit SuperPro Software.

Using the register.SPS file

When you select the desired account in your accounts.SPS file the program will go to the designed layout for that account type. The program will default to the layout that will show Splits for the account. You can hide this option by clicking on the Hide Splits buttons at the bottom of the screen.

There are six option icons at the top right of the screen. The Reset icon will clear the entry fields if a previous entry has been selected. Select an entry by clicking into the fields of the desired entry. The Add icon will create a new entry to be completed. The Delete icon will Delete an item entry before it is posted to your QuickBooks accounting program. The Help icon will take the program to the balloon help screen for the specific layout that you are in when making the request. Refresh will return the screen to normal viewing after a data entry. The Quit icon will exit SuperPro Software. The fourteen Control Buttons will take the program to the designated modules of the program.

There are four Navigation Buttons at the bottom of the Bank accounts and three on the other accounts screens.

The Select Account button will return the program to the account.SPS file to select a different type of account. The Hide Splits button will take the program to the screen that hides the split categories for the account and the Show Spits button will take the program to the layout that will show the Split category options for the selected account. The Goto Report button will take the program to the ChkTrans.SPS file that contains SuperPro Software’s financial reports. The Write Checks button in your checking account layouts will take the program to the wrtechks.SPS file with the next sequenced check ready to complete.

Writing Checks

 

 The Write Check button in the Bank account template will take the program to the Check Template screen. Enter the Payee of the check and the numerical value of the check. SuperPro Software will supply the cursive value of the check and enter the payee in the address field. Now complete the payee’s address. Enter a Memo about the check if needed and enter a Category for the type of expenditure the check represents. You can select from previously used categories from the drop down menu or you can enter a new category for the current check.

To enter Splits categories for the check click on the Show Splits option to go to the Check Template with Split categories. Enter the Category and Memo if needed that the split is to be applied to and the amount of the check that is to be applied to the selected entry. The Delete button will reset an entry line when selected.

There are five control buttons at the bottom of the check template. The Print button will give options for Printing your check. The Show Splits option will go to the Check template that show your split options information and the Hide Splits will go to the template that hides this option. The Post Check to QuickBooks button will post your checking entry to your QuickBooks accounting program. The Register button will return the program to the register screen and the Cancel button will void the check and cancel the entry.

Credit Card Entries

To enter a new charge for a Credit Card account click on the Add option icon. The date will be an auto filled field. Enter the Creditor for the charge and the amount of the charge in the Charge field. Enter a Category for the charge and a Memo on the charge if needed. If there is Split information for the charge enter the split information in the category field and memo field and the amount to be applied to the selected split in the amount field. Click the Post Register to QuickBooks to complete your entry and send the information to your QuickBooks accounting program. To make a Payment for your credit card account select the Add option icon and enter the amount of the payment in the Payment field. Use the Category and Memo fields as needed. Click on the Post Register to QuickBooks to complete your entry and send the information to your QuickBooks accounting program.

Cash Account Entries

To enter a new expenditure into your cash accounts click on the Add option icon. The date will be an auto filled field. Enter the Description of the Expenditure and the amount of the expenditure in the SPEND field. Enter a Category for the charge and a Memo on the expenditure if needed. If there is Split information for the expenditure enter the split information in the category field and memo field and the amount to be applied to the selected split in the amount field. Click the Post Register to QuickBooks to complete your entry and send the information to your QuickBooks accounting program. To make a Deposit into a Cash account select the Add option icon and enter the amount of the deposit in the RECEIVE field. Use the Category and Memo fields as needed. Click on the Post Register to QuickBooks to complete your entry and send the information to your QuickBooks accounting program.

Savings Account Entries

To make a deposit into a Savings account click on the New icon at the top right of the screen. Now click into the description field of the new transaction that has been created and select or enter a message that indicates a deposit to your selected Savings account. Now tab to the Deposit field and enter the amount of the deposit. Now tab into the applied to field below the description field and select the account that the deposit is to be withdrawn from.

 

To make a withdrawal from a savings account click on the New icon at the top right of the screen. Now click into the description field of the new transaction that has been created and select or enter a description of the transfer. Now tab to the Withdrawal field and enter the amount of the withdrawal. Now tab into the applied to field below the description field and select the account that the deposit is to be applied to.

 

To complete your transaction click on the Post to QuickBooks button at the bottom of the screen.

Expense Account Entries

 

To record a new expense click on the New icon at the top right of the screen and then enter a vendor for the purchased expense in the description field. Now tab to the applied account field and select the account that the expense is applied to or if the account is unpaid enter Accounts Payable in the applied to field. Tab into the Expense Amount field and enter the amount of the purchase.

 

To enter a payment for different expenses click on the Show Splits button to go to the Splits layout screen. Select the New transaction icon and Now click into the description field of the new transaction that has been created and select or enter the Vendor that the purcahse is for. Now tab to the Expense Amount field and enter the amount of the expenditure. Now tab into the applied to field below the description field and select the account that the purchase is for. Now tab into the Item field and enter the specific item that the payment is to apply to and then enter the portion of the total payment that is to be applied to that item. Enter a memo for the entry if needed. Click into the next item field and enter the next item, memo and amount to be applied to the item until all of the payment amount is accounted for.

 

To complete your transaction click on the Post to QuickBooks button at the bottom of the screen.

Income Account Entries

 

To record a non-inventory income account transaction click on the New icon at the top right of the screen. Now click into the description field of the new transaction that has been created and select or enter a message that indicates the work performed. Now tab to the Amount field and enter the amount of the earnings. Now tab into the applied to field below the description field and select the account that the earnings are to be applied to. If you wish to split the amount of earnings into different categories click on the Show Splits button to go to the Splits layout. In the category field enter the specific description of the earnings and the amount of the earning represented by that specific category. Click into the next category field and enter the next category for the earnings. Enter the categories for the earnings until the entire amount of the earning is accounted for.

 

To complete your transaction click on the Post to QuickBooks button at the bottom of the screen.

Other Current Liability Account Entries

 Selecting an Other Current Liability account in the accounts.SPS file will take the program to the Other Current Liability account register layout. To enter a payment into an Other Current Liability account click on the New icon at the top right of the screen. Now click into the description field of the new transaction that has been created and enter the name of the Other Current Liability. Now tab to the Payment field and enter the amount of the payment. Now tab into the applied to field below the description field and select the QuickBooks account that the funds are taken from.

 To complete your transaction click on the Post to QuickBooks button at the bottom of the screen.

Account Receivable Entries

After selecting the Accounts Receivable account in your accounts.SPS file, select the customer that you wish to enter a receivable from by clicking into the Customer field and selecting the customer from the dropdown menu. This will display all of the invoices for the selected customer.

 

To enter a new payment for the selected customer click on the New icon at the top right of the screen. Now select from the displayed invoices the invoice that you wish to make the payment on. Then tab to the deposit field and enter the amount of the payment.

 

To enter a payment for different invoices click on the Show Splits button to go to the Splits layout screen. Select the New transaction icon and then select an invoice the first invoice that is to be included in the payment. In the splits layout you can identify each invoice that a payment is to be applied to and specify the amount of the payment to be applied.

 

To complete your transaction click the Post to QuickBooks button at the bottom of the screen.

Inventory

SuperPro Software's automated inventory system is updated when a new order is created by SuperPro Software. Inventory levels are adjusted to reflect the amount of product sold on a new order.

There are six Inventory Option icons in the upper right corner of the Inventory entry screen.

The List View icon will take the program to a list view of the entered products. There is a print option in the list view to print the product list. The Add icon will add a new item for the current displayed Vendor and will retain the Vendor information. The Delete icon will Delete the current displayed item from the Inventory database. The Find Item icon will take the program to a search wizard that you will select the desired product for the search. The Refresh icon will return the screen to normal viewing after a data entry. The Quit icon will exit SuperPro Software.

Product Entry

The Product Entry Screen is for entering the Product ID, Category Type, the Description, Initial inventory level, the re-order level and the peak order level for you products, the cost of the product, the normal retail, and the shipping weight of the product. The On Hand and Open to Buy are auto functions of SuperPro Software. All entered Inventory items will display in the description field in your Order Entry Screen. Enter the name of the QuickBooks account that you want QuickBooks income account to be identified as or the account that has been entered into QuickBooks for this particular item. You do not need to create an income account in your QuickBooks accounting program for entered inventory items. SuperPro Software will create income accounts in you QuickBooks accounting program when an item is sold and entered in your Order Entry system. Enter the Cost of Goods Sold account in QuicksBooks and identify the Assets account.

There are four Option buttons at the bottom of the Product entry. The Print button will print a Product item that a picture has been added. The View Product button will go to a screen view of the product. The Add Picture will create a new picture for the current displayed item. Select the art file from the dialog box and click Open to insert your products' picture. The Remove Picture button will remove a picture of a product that has been previously added.

Vendor Information

The Vendor information section is for entering information on a specific vendor. To select a current vendor click the Select Button and select the Vendor ID of the vendor that you wish to find and then click the Find button. To create a new Vendor click the New button and enter a Vendor ID in the Vendor ID field and complete the Vendor information. Choosing the Add Item option button will Add a record with the currently selected Vendor's Information.

SuperPro Software Analysis

Choosing the Sale Analysis control button will take the program to the Reports Menu Screen. SuperPro Software provides a comprehensive look at your sales through a number of differently configured reports. You can look at your productivity on a daily, weekly, monthly, or yearly basis.

Using the Report Menu Options

There are four chooses for Summary Reports: Product Summary by Day will take the program to a spreadsheet analysis of your sales sorted by the day and the month for the selected search period; Product Summary by Week will take the program to a spreadsheet analysis of your sales sorted by the week and the month for the selected search period ; Sales Summary by Month will take the program to a spreadsheet analysis of your total sales sorted by the month for the selected search period. Also show gross profit for the month as well as total revenues, total taxes and current accounts receivable for the period; Sales Summary by Year will take the program to a spreadsheet analysis of your total sales for the selected search period. Also show gross profit for the month as well as total revenues, total taxes and current accounts receivable for the period.

Below the Icons for each report is the Period Selection Box. This is a drop down menu selection with the options of last week, this week; last month, this month, last year, this year or Entire Company History. Your Summary Report is related to the Period Selection that you choose in the Period selection Box. The produced reports will reflect the time period that is current in the Period Selection Box. To create a Summary Report choose the period of time that you would like the report to reflect and then click on the Report Icon that you want SuperPro to produce. Click on the Continue button to return to the Reports Menu after reviewing your selected Report. The Printer Icons will print the designated reports.

Using Sales Analysis

Choosing the Sales Analysis icon on the Report Menu will take you to the Sales Analysis screen. Choose a period of time from the drop down menu for your sales analysis. The analysis will give you a dated review of all sales for the designated period. It will show you the total of the sales for the period and the percentage of sales compared to the total sales of your business. It will give you a summary of the gross profit from sales for the period selected. Choosing the Goto Spreadsheet option button will take you to a spreadsheet analysis of your sales. The Reports icon will take you to the Report Menu screen. Choosing the Find icon will allow you to choose a specific product to do a Product Analysis on.

Using Product Analysis

Choosing the Product Analysis control button will take you to a the Product Analysis screen. Use this information to evaluate the overall value of a specific product to your business. The analysis will give you a dated review of each sale of the product. It will show you the total annual year to date total of the sales of the product and the percentage of the total sales to the total sales of your business. You may also choose a specific time interval for a Product Analysis by going to the Reports menu and selecting a desired time interval in the search period field then click on the Product Analysis icon to select a specific product for your analysis. Choosing the Goto Spreadsheet option button will take you to a spreadsheet analysis of the sales of the product. Choosing the Reports icon will take you to the Report Menu screen. Choosing the Find icon will allow you to choose a specific product to do an analysis on.

Asset Depreciation

SuperPro Software includes a very valuable asset depreciation program. You can save hundreds of dollars annually in accounting fees and assure that you are taking advantage of all depreciation allowances on your federal income tax. There are three screen option buttons on the Menu screen. The Calendar button will open SuperPro Software's calendar, the Close file button will close the Asset Depreciation program and return to the DataBase, the Quit button will exit SuperPro Software.

SetUp

The Company Setting control button will take you to the setup information you your company and for your fiscal year. The List icon will go to a list view of the entered assets. The Refresh icon will return the screen to normal viewing after a data entry. Click on the Save option button to save your setup information. The Menu button will return the screen to the Depreciation Menu screen. The Quit icon will exit SuperPro Software.

The Asset Details control button from the Depreciation Menu screen will take you to the entry screen for assets. Refer to the [?] for assistance in entering the required information for each asset. You will need to reference the federal depreciation guideline and the instructions for use of federal forms #4562 part 11 for current year and #4562 part 111 for prior years to obtain information concerning appropriate conventions, methods, and corresponding depreciation schedules in order to use this program. There are seven option buttons available in the upper right corner of the screen. There are seven option icons at the top right of the Asset Details screen. The List icon will take the program to a list view of your entered assets. The Find button will place the program in the Find mode and will go to the Asset Find screen. All fields on the screen are searchable fields. Enter the item that you wish to find and choose the Continue button to the left of the screen to complete your find operation. Choose the Cancel button to cancel the find request. The Delete button will delete from the database the currently displayed asset. The Print button will print the currently displayed asset's information. The Add button will create a new record for entering a new asset description. The Menu button will return the screen to the Depreciation Menu screen. The Quit icon will exit SuperPro Software.

Reports

SuperPro Software can produce a detailed current asset depreciation report for each entered asset by choosing the Depreciation - Detail button from the Reports options on the Menu. You can produce a current assets depreciation summary report by category by choosing the Depreciation -Summary button from the Reports option on the Menu. You can produce year beginning detailed reports and year ending detailed reports from the Reports options.

SuperPro Expense Report

Expense Report

The main screen Expense Report is used for entering the important information concerning your expenditures.

There are six Option Icons at the top right corner of the Expense Report screen. The Help icon will take the program to a balloon help screen for the Expense Report screen. The Find icon will place the program in the Find mode and take the cursor to the employee selection field. Select from the drop down menu the employee that you wish to review. Then click on the Find buttons to complete your search. To create a new report choose the Add record icon at the top right of the screen. This will create a new report and place the cursor in the employee selection field. This is a drop down menu with edit and other options. Each employee should be entered in this section. Choose the appropriate employee from the menu. Now enter your information in the specified fields. The Delete record icon will delete the current expense report. Click on the Find icon to complete a Find request. Clicking on the Refresh option button will cancel your search and return the program to the Browse Mode. SuperPro Software will total you daily expenditures and will then total your weekly expenditures. SuperPro Software will total your charges to the company for the week and will calculate the balance of cash advances made to employees and produce a final tally of total cash expenditures, total credit charges, and total cost to the company for the week. Choosing the Info icon will take the program to the About screen for Employer Resources which has contact and technical support information.

Using Expense Report Control Buttons

The Company Year to Date button will take the program to a screen summary view of all Expense Reports for the current year. The Employee Year to Date will take the program to a screen summary view of all Expense Reports of the selected employee for the current year. The Calendar button will open the SuperPro Software Calendar and the Calculator button will open the MicroSoft Calculator. The DataBase button will return the program to the DataBase screen. The Evaluation button will take the program to the Evaluation entry screen for entering information about a specific expense report. The Reports button will take the program to the Reports selection menu were you can select from five different report that can be customized by search report time selection.

Using the Evaluation Form

Clicking on the Evaluation control button will take the program to a comments section for each report. Use this section to evaluate the benefits of a particular expense such as conferences or business trips. Click on the Preview Evaluation to preview the evaluation. Click on the Reset Evaluation to clear the form completely. Click on the Print button in the upper right corner to Print the Evaluation.

Using Year to Date Reports

To use the Summary Year to Date Reports in SuperPro Software you must choose the appropriate sort that you desire. To retrieve the year to date summary totals on an employee, select the Goto Find option in the upper right corner of the screen. The cursor will go to the employee name field. Choose the employee that the summary is desired for. Now choose the Employee YTD option from the control buttons. This will send SuperPro Software to the Summary Expense Report. The summary report will give a year to date running total of each category of expenditures. It will give a running year to date total of cash expenditures, total credit charges, and total cost to the company for the employee. Selecting the Company YTD control button will provide the totals for the entire company year to date.

Using Summary Report

Select the Reports Control Button to go to the Summary Reports' Menu. There are five available reports that can be customized by the desired search period. Company Car Analysis is a report designed for user that utilize a company car and prepare reports for mileage. Mileage by Rate Analysis is designed for users that are reimbursed mileage expenses by a specific mileage rate. Travel Administration Analysis is a summary report of expenditure calculated by SuperPro Expense Report. Automobile Administration is designed for users who are reimbursed for actual automotive expenses

Select the period of time that you want the report to cover from the drop down menu of selections or enter a data range in the Search Date Report field. (Date ranges must be entered with four digit years. To enter a Range for your search use the Other option and enter a date range with two periods between the dates. Ranges must have a four digit year in order to complete your search. i.e. 1/1/2002..6/30/2002)

Select the Employee that you want the report for. For all reports for the selected search period select Entire Company in the selection field from the drop down.

The Print buttons will print the corresponding report.

SuperPro Calendar

SuperPro Software provides a calendar. To view the calendar anywhere in the program choose Open Calendar from the drop down option in the Find menu on the toolbar. You can advance the calendar by the month by clicking on the desired month in the month tab buttons at the bottom right of the calendar screen. The advance arrow will advance the calendar to the start of the next year and the reverse arrow will return the calendar to the previous year. The Today button will return the calendar to the current day's date. Holidays are displayed on the left side of the calendar screen. This will include any special days that you have entered using the Add Holiday option in the Appointment Setter. To close the calendar click on the Close button at the top right corner of the calendar screen.

PLEASE READ THIS LICENSE CAREFULLY BEFORE USING THIS SOFTWARE. BY USING THIS SOFTWARE , YOU AGREE TO BECOME BOUND BY THE TERMS OF THIS LICENSE. IF YOU DO NOT AGREE TO THE TERMS OF THIS LICENSE, DO NOT USE THIS SOFTWARE AND PROMPTLY RETURN IT TO THE PLACE WHERE YOU OBTAINED IT FOR A FULL REFUND.

 

SuperPro Software is licensed, not sold, to you by Employer Resources for the use only under the terms of this license, and Employer Resources reserves any rights not expressly granted to you. You own the media on which the Software is recorded or fixed, but Employer Resources and its licensors retain ownership of the Software itself.

 

1. License

 

This License allows you to:

 

(a) Use one copy of the Software on a single computer at a time. To “use” the Software means that the Software is either loaded in the temporary memory (i.e., RAM) of a computer or installed on the permanent memory of a computer (i.e., hard disk, etc.)

 

(b) Make one copy of the Software in machine readable form solely for backup purposes. As an express condition of this License, you must reproduce on each copy any copyright notice or other proprietary notice that is on the original copy supplied by Employer Resources.

 

(c) Permanently transfer all your rights under this License to another party by providing to such party all copies of the Software licensed under this License together with a copy of this License and the accompanying written materials, provided that the other party reads and agrees to accept the terms and conditions of the License.

 

2. Restrictions

 

The Software contains trade secrets in its human perceivable form and, to protect them, you may not REVERSE ENGINEER, DECOMPILE, DISASSEMBLE OR OTHERWISE REDUCE THE SOFTWARE TO ANY HUMAN PERCEIVABLE FORM. YOU MAY NOT MODIFY, ADAPT, TRANSLATE, RENT, LEASE, LOAN OR CREATE DERIVATIVE WORKS BASED UPON THE SOFTWARE OR ANY PART THEREOF.

 

3. Termination

 

This License is effective until terminated. This License will terminate immediately without notice from Employer Resources or judicial resolution if you fail o comply with any provision of this License. Upon such termination you must destroy the Software, all accompanying written materials and all copies thereof, and Section 6,7, and 8 will survive termination.

 

 

 

4. Passwords

 

The Software licensed to you contains features which are protected by certain password. You are not authorized to enter, remove, or change such password, and only Employer Resources is authorized to enter, remove or change such passwords.

 

5. Export Law Assurance

 

You agree that neither the Software nor any direct product thereof is being or will be shipped, transferred or re-exported, directly, into any country prohibited by the United States Export Administration Act and the regulations thereunder or will be used for any purpose prohibited by the Act.

 

6. Limited Warranty

 

Employer Resources warrants for a period of ninety days from your date of purchase that (i) the media on which the Software is recorded will be free from defects in material and workmanship under normal use, and (ii) the Software as provided by Employer Resources will substantially conform to Employer Resources’ published specifications for the Software. Employer Resources’ entire liability and your sole and exclusive remedy for any breach of the foregoing limited warranty will be, at Employer Resources’ option, replacement of the media, refund of the purchase price or repair or replacement of the Software.

 

THIS LIMITED WARRANTY IS THE ONLY WARRANTY PROVIDED BY EMPLOYER RESOURCES AND ITS LICENSORS EXPRESSLY DISCLAIM ALL OTHER WARRANTIES, EITHER EXPRESSED OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY AND FITNESS FOR A PARTICULAR PURPOSE WITH REGARD TO THE SOFTWARE AND ACCOMPANYING WRITTEN MATERIALS. BECAUSE SOME JURISDICTIONS DO NOT ALLOW THE EXCLUSION OR LIMITATION OF IMPLIED WARRANTIES, THE ABOVE LIMITATION MAY NOT APPLY TO YOU.

 

7. Limitation of Remedies and Damages

 

In no event will Employer Resources, it parent or subsidiaries or any of the licensors, directors, officers, employees or affiliates of any of the foregoing be liable to you for any consequential, incidental, indirect or special damages whatsoever (including, without limitation, damages for loss of business profits, business interruption, loss of business information and the like), whether foreseeable or unforeseeable, arising out of the use of or inability to use the Software or accompanying written materials, regardless of the basis of the claim and even if Employer Resources representative has advised of the possibility of such damage. Employer Resources liability to you for direct damages for any cause whatsoever, and regardless of the form of the action, will be limited to the greater of $500 or the money paid for the Software that caused the damage.

 

 

 

THIS LIMITATION WILL NOT APPLY IN CASE OF PERSONAL INJURY ONLY WHERE AND TO THE EXTENT THAT APPLICABLE LAW REQUIRES SUCH LIABILITY. BECAUSE SOME JURISDICTIONS DO NOT ALLOW THE EXCLUSION OR LIMITATION OF LIABILITY FOR CONSEQUENTIAL OR INCIDENTAL DAMAGES, THE LIMITATION ABOVE MAY NOT APPLY TO YOU.

 

8. General

 

This License will be construed under the laws of the State of Vermont, except for that body of law dealing with conflicts of law. If any provision of this License shall be held by a court of competent jurisdiction to be contrary to law, that provision will be enforced to the maximum extent permissible, and the remaining provisions of this License will remain in full force and effect. If the software is supplied to the United States Government, the Software is classified as “restricted computer software” as defined in clause 52.227-19 of the FAR. The United States Government’s rights to the Software are as provided in clause 52.227-19 of the FAR.
